Your Volunteer Commitment
We need a Team Coordinator. Responsibilities include: roster preparation, purchasing and coordinating supplies for meet day, overseeing rule adherence by coaches, coordinating all volunteer chairpersons. This position can be done by one or shared by two.
When registering, you will be asked to list at least two committees that you are interested in working on during the meets. You will be assigned to ONE committee only.
If you would like to work at a meet, but are not on the schedule, let the team coordinator know when you arrive, and we will use you if we have any holes. We appreciate all your help!!!
VOLUNTEER COMMITTEES
Timers: Stand at the end of a specified lane and time and record the races for that lane (provided by host team only)
Runners: Take the pink/blue time sheets from timers to the scorekeepers' table (provided by host team only)
Scorekeepers: Sits at scorekeepers' table and record scores for both teams (provided by host team and visiting team)
Place Judges: Sits at each end of the pool, and records order of finish for each race (i.e., lane 2 first, lane 3 second, lane 1 third, etc.) (provided by host and visiting team)
Ribbon Writers: Records times for each race during the meet on a laptop. In the morning, will put the stickers on the back of the appropriate ribbons and file them in each swimmers file. This is a great job for those moms with small kids who will be at practice in the morning.
Bullpen: responsible for getting swimmers from a boys' or girls' age group to their assigned lane and lined up in order for each race. Ultimately, it is the swimmer's responsibility to be in their assigned lane at the correct time.
Banquet: Coordinates the end of the season banquet.
Each family is responsible for fulfilling 3 half meets (2 hour shifts) per child swimming this season. You will receive a schedule for your designated committee before the meets begin. If you have a conflict, it is up to you to find a replacement. If you are unable to find anyone to take your place for that meet, call your committee chairperson as soon as possible (not at 4:30 the night of the meet!!). If you cannot contact your committee chairperson, please call or email the Team Coordinator and tell them what committee you are on and what shift you cannot fulfill.
If you are a veteran swim team parent, you know how many volunteers it takes to run a swim meet. Please be flexible with us, so that we can run smooth meets for our children. If you are new to the swim team, or if you are working on a different committee than you did in the past, please try to work at the mock meet, so that you can get a good feel for how your position works.

Miscellaneous Information
Bad Weather: If it is raining on the day of a meet, do not assume that the meet will be cancelled. Rainstorms can come and go in 30 minutes here in Atlanta. Please watch your email if the weather is bad. We will keep everyone updated. If it starts to rain during a meet, do not go home! We will swim in the rain (unless it is coming down in buckets!), but if there is any lightning or thunder we clear the pool. We have to wait at least 30 minutes to see if it will clear up. If it does not, and we call the meet, we will have a rain date to finish the meet. Both teams agree upon the makeup date at the meet, so listen for the date, or watch your email for information.

Since there are so many families on the swim team, we have found that this is THE most efficient way to communicate. We will note practice changes, directions to the AWAY meets, as well as any other information we need to get to you. If you have not received any emails from us by MAY16, please call the team coordinator and we will make sure you are added.
Getting your child to their lanes: This is your responsibility. We have bullpen workers who will line up the kids when they get to the lane, but they WILL NOT go looking for them. We suggest you not let your kids go to the playground until they are done swimming for the night. The event board is up on the deck, next to the announcer. Please keep track of where we are during the meet so that your child has plenty of time to get to his/her lane.
Heat sheets: Heat sheets are available at the meet so that you can follow the lineup of the meet. We also will post individual stickers for each swimmer that will list each of their events. We suggest that you bring a sharpie to each meet and write your child’s events on their legs, arms or whatever (the kids actually enjoy this “body art”). You should write down: 1) the event number 2) the heat number 3) the lane number and 4) a description of the event so the swimmer knows what he/she is swimming before he/she dives in!
No pets on the pool deck during practice! Pets are not allowed in the pool area during regular pool hours, and they are not allowed during swim team practice.
Please encourage your child to come to every practice. They will make unbelievable progress if they are dedicated to getting better. We can also make a better lineup for meets if we can see how everyone is doing from week to week.
